We provide specialized support for campus departments, including carrier selection for UPS, FedEx, and USPS, as well as guidance on customs documentation and hazardous materials shipping.

Interdepartmental Mail
To ensure prompt delivery within the campus network, please follow these guidelines:
- WSU Vancouver Interdepartmental Mail: Clearly label items with the recipient’s full name, building name, and room number.
- WSU Intercampus Mail: Note that intercampus mail services between different WSU locations have been discontinued.
Off-campus Mailing and Shipping
All outbound shipments must be placed in departmental workrooms for pickup by 11 a.m. or dropped off directly at the mailroom before 1:30 p.m.
Requirements for all mail and parcels:
- Recipient name and complete address
- Sender name and return address
- WSU eight-digit expense account number for departmental billing
Carrier-Specific Instructions
When preparing your items, please provide the following information based on your preferred carrier:
- UPS: Specify shipment speed (1-day AM/PM, 2-day, 3-day, or ground). Shipments without a designated speed default to ground.
- FedEx: * Ground: Include recipient and sender phone numbers. Undesignated shipments default to ground.
- Express: Specify shipment speed (1-day AM/PM, 2-day, or 3-day). Senders may use handwritten FedEx Express forms available in the mailroom.
- USPS: Identify necessary extra services:
- Certified: Provides an official receipt and requires a recipient signature.
- Return Receipt: Provides proof of delivery.
- Registered: Offers a chain of custody and extra security for high-value items. This service must be completed in person at a Post Office location.
- New Accounts: If your expense account is not yet approved for USPS use, submit the New USPS Mail Account form to van.mailroom@wsu.edu.
International Mail
International shipments are available via UPS, FedEx, or USPS. Most items require customs forms which should be completed prior to pickup. If you require assistance with international documentation, please provide sender contact information so mailroom personnel can discuss the shipment details with you.
Dangerous Goods Shipping
Shipping hazardous materials requires strict adherence to safety protocols:
- Documentation: Submit a Certified Shipping Document to van.mailroom@wsu.edu at least 24 hours before the item leaves campus.
- Packaging: While standard materials are provided, any United Nations spec packaging must be acquired by the originating department.
