All menu arrangements should be completed 14 days before your event. Menu selections may be limited after the 14-day deadline.
Guarantees or final counts for all meals served are required at least 48 hours before the date of the event. A 72-hour guarantee is required for Monday events. All events will be invoiced for the number of guests guaranteed.
Cancellation requires one week advance notice. Monday events may be cancelled no later than Tuesday of the preceding week. In extreme circumstances, cancellation with less than one week’s notice and invoicing of goods purchased for that event will be handled on a case-by-case basis by the Dining Services manager. For a noncancellation/no-show, you will be invoiced for the full amount.
All prices in the catering brochure are subject to change, based on market prices and product availability. Prices quoted can be confirmed 30 days before an event. Sales tax must be added to all catering prices.
Prices quoted are for service and/or pickup on the WSU Vancouver campus. Food service provided by WSU Vancouver Dining Services outside the WSU Vancouver campus will incur a delivery charge that will be quoted when the complete food and equipment order has been finalized. Minimum delivery charge is $50 per delivery trip/meal service.
All menu requests not currently offered on the catering menu must be approved by the Dining Services manager. Such requests will be handled on a case-by-case basis.

Weekend and holiday catering
A three-week advance notice is required to secure weekend and/or holiday catering. All weekend/holiday catering requires the approval of the Dining Services manager.
Minimum food/beverage order of $200 is required. If an order does not meet the minimum, a service charge will be applied to reach the required minimum.
WSU Vancouver Dining Services reserves the right to refuse any weekend/holiday catering based on profitability. Dining Services also reserves the right to apply “blackout” periods in which catering is not available. Such dates will be publicized a minimum of 60 days in advance.
Invoices and accounts receivable
All charges for catered events are due and payable upon receipt of invoice. Invoices are prepared within two weeks of completion of the event.
WSU Vancouver Dining Services reserves the right to require nonuniversity-sponsored events to place a 50 percent advance deposit of the estimated total charges for the event 14 days before the scheduled date of the event.
All non WSU-affiliated events with charges uncollected after 60 days will be subject to a
5 percent late fee and will be re-invoiced as such. For university events paid from state funds, a Request to Serve Food Form (PDF) [requires Network ID and password] must be submitted in advance to Finance and Operations.
Campus food policy
All foods and beverages to be sold or given away on WSU Vancouver property must be from an approved source. Outside caterers must submit a Clark County health permit to the Events Office at least one week before the event.
WSU Vancouver space reservations must be made through the Events Office.
