Incoming Delivery Schedule
With the exception of food (to the Cafeteria) and live animals (to Mike Morgan's laboratory) ALL incoming items are delivered to the Mailroom. Delivery drivers do not deliver TO your Department, and they do not take Returns FROM your Department, only the Mailroom. Your item will be delivered as soon as possible after receipt.
Please Note - All incoming package tracking is done in the Mailroom by means of a barcode scanner and computer database, which means that only items with a tracking ID (such as FedEx, UPS, DHL, etc) are able to be searched in the delivery database... items sent by US Mail (unless they have a Certified or Delivery Confirmation barcode) or items inside the Courier box, have no individual identity and may not be tracked
Before you call the Mailroom to find out if your item has been delivered, please call the Vendor and obtain a tracking ID - both so Mailroom staff may search the database of receipts, and so you may check the carrier's website for tracking information (it does not happen often, but it DOES happen that drivers deliver boxes to the wrong address)
You may use the Internet to track your package at: UPS or FedEx
Sorry, there is no such thing as an Incoming Delivery Schedule. US Mail and packages (FedEx, UPS, Etc) arrive based on any individual delivery driver's daily workload and on the speed class used by the sender, not on any established schedule. Your items will be received, sorted and then delivered to your campus Department as soon as possible. See below for FedEx times - FedEx is used for the Courier box from Pullman.
- FedEx FIRST Overnight (very expensive, rarely used) is due by 8:30 AM
- FedEx PRIORITY Overnight (sometimes used by Vendors who are sending a rush order) is due by 10:30 AM - so IF there is a rush order from a Vendor, the Courier box will also arrive by 10:30 AM, otherwise see #4
- Since the morning deliveries on Campus usually begin by 10 AM it may happen that a FedEx Priority item (due by 10:30 AM) will be received after morning deliveries have started, in which case the item will be delivered in the afternoon
- FedEx STANDARD Overnight (used by Pullman for the Courier box) is due by 3:00 PM which means, since the afternoon delivery starting time is 2:00 PM, that it does sometimes happen that the Courier box arrives too late in the day for same day delivery on Campus
Special Notice on LATE Deliveries
- Most of the delivery trucks stopping at WSU are from large companies, with a warehouse staff, not the driver, placing items on the trucks... which means that items are sometimes put in the wrong place on the truck
- Any delivery company (FedEx, UPS, DHL, etc) will normally only deliver ONCE each day, but on RARE occasion (since we opened in 1996, only 2-to-3 times a year) a driver will make an extra, late delivery if an item is found on the truck and the driver is close to WSU when the item is found
- Since any such late delivery is totally dependent on the driver both finding the item AND being close to WSU, do not expect a delivery driver to make a 2nd trip in the same day... their schedules are usually so rushed that a misplaced item is simply going to wait until the next delivery day
Incoming Receipts -VS- Campus Deliveries
- Since the mail truck is not very large, the fact that your package arrived at any given time does NOT mean that your package is always going to be delivered at the next scheduled service - see the next subject, concerning RUSH deliveries, which may delay other, regular service, deliveries --ALSO--
- Your package will be delivered as soon as there is space on the mail truck - which may require a special trip if your item is too large to fit on the mail truck with the "tote bins" used for mail (special trips are most often performed early in the morning, so something that arrives "today" may be delivered "tomorrow morning" depending on the individual item's size, as well as the total number of items to be delivered outside the scheduled times)
- Sending an Email to the Mailroom that you have a large item (or many small items) will help, by allowing Mailroom staff to know that a work order request for delivery by the Facilities staff, using the pickup truck, may be needed - this is especially true if your order will arrive on a pallet
- RUSH Deliveries

Please call 6-9708 in advance if you know a Rush Delivery item is on the way
Items which require rush delivery (Ice or Live Cargo) will be delivered at the next available scheduled delivery, if they arrive shortly before the already scheduled time
OR
The recipient will be called to arrange for personal pickup if the next available delivery time is such that the item might be harmed by staying on the loading dock (and a special delivery trip is not possible)
AMS/Whets and Student Services will also be contacted (via Email) if a late Courier box contains an AMS/Whets bag for a class, or student aid checks
- Mail Sorting and Delivery
- Mail sorting and delivery is on a "hub-and-spoke"
system, with the Mailroom being the hub of activity. Mail
picked up during morning rounds is sorted for afternoon
delivery beginning at about 2PM. Mail picked up during
afternoon rounds is sorted for delivery the next morning.
NOTE: Delivery times may vary, depending on
workload
- Paper Delivery Throughout the Week
- Copy/Printer paper is delivered to Departmental work
rooms. Full box(es) of standard, white 8.5 x 11 paper are
stocked in the Mailroom area and delivered according to
the schedule printed on the paper receipt. (you sign the
receipt and send it to Finance)
Paper delivery is on a "Space Available" basis, and is not done according to any set schedule (ie- a random day of the week) so please send an Email to the Mailroom BEFORE you completely run out of paper
Other sizes or colors of
paper are ordered by you (not by the Mailroom staff)
through your usual office supply vendor.
Use the Email
link below to request extra box(es) of regular paper, or to
temporarily halt delivery if you are overstocked. Email to Mailroom
- 08:00-11:00 AM
- Courier and FedEx/UPS arrive (FedEx is used for the
Pullman courier). Courier mail sorted, packages logged
and sorted and Receiving Reports printed as needed, items which could not be delivered the previous day due to size or volume are delivered
- Please NOTE FedEx does not have a set schedule, they
deliver here according to the "Speed Class" of the
individual item, with 1st Overnight being by 08:30 AM,
Priority Overnight being by 10:30 AM and Standard Overnight
being by 3:00 PM
- The courier box from Pullman is sent via FedEx, using Standard Overnight, so it MAY arrive too late in the day for same day sorting and delivery on the Vancouver campus.
IF some other item was sent via FedEx Priority Overnight, the courier box will arrive at the same time, and will then be sorted and delivered the same day (afternoon)
- 09:00-11:00 AM
- Begin morning delivery/pickup to work areas (time
varies depending on volume to be logged). Depending on
exactly what is to be delivered to each work area, a
"round" takes about 1 hour. Route direction (which
building is 1st or last) depends on what is to be delivered to
each work area.
- The once a day delivery to the Clark Center is during the morning delivery circuit. Since the Clark Center is usually the FIRST delivery stop in the morning, that means that anything you send to Clark "today" will be picked up after the Clark Center delivery has already been made, and therefore will be delivered the next morning.
- Noon-2:00 PM
- Back in the mailroom, internal and outgoing mail is
sorted for courier or the postage meter (mail is not processed through the postage meter until after the afternoon delivery, or ABOUT 3:15 PM) If the rural
route US Mail driver has not arrived, US Mail is put out,
otherwise it is taken off campus at 3:30. US Mail delivered by the
rural route driver is sorted for afternoon rounds (or
next morning delivery, if US Mail arrives too late to sort by 2 PM)
- 2:00 PM
- Begin afternoon delivery/pickup to work areas (which
building is 1st or last varies with items to deliver)
- Have outgoing mail in the Blue OUT box by 2:00 PM
- 3:00-3:30 PM
- Internal and outgoing mail is sorted for courier or
the postage meter
- NOTE that any outgoing item you were not able to
have in your Department's OUT box by 2PM must be hand
carried to the Mailroom by 3:15 (that is IN the
Mailroom by 3:15) for logging and departure by 3:30
- 3:30 PM
- FedEx driver picks up the courier "tote bin" for
overnight delivery to Pullman (Please NOTE that winter snow conditions may
delay the courier delivery to Pullman by a day, so please do not wait until the "last minute" to send something to Pullman)
- US Mail is taken off campus to a commercial drop site
- 3:30-4:30 PM
- Receiving Reports logged, any other administrative work
- ABOUT 4:00-to-4:30 PM
- UPS performs a "drive by" and picks up any items waiting at the Mailroom door (this is an automatic daily stop [Monday-Friday] no scheduling call is needed)
- Place your UPS item with your other OUT mail by 2:00 PM, or hand carry your UPS item to the Mailroom by 3:15 PM, for your UPS item to be entered into the logging system for that day's business, and then placed outside the Mailroom door for the daily "drive by"
- 4:30-5:00 PM
- Receiving Reports logged, any other administrative work
