Kim Estes, Scheduler / Events Coordinator
TEL: 360-546-9588                          FAX: 360-546-9062

OFFICE HOURS: Monday - Friday, 9 a.m. - 3 p.m.

The Events Office is available to assist campus event sponsors with coordination of events in the areas of space reservations, signage, set-up and other event-related requirements. Academic classes are given top priority in scheduling classrooms; all other requests are scheduled in priority received.

If you need to schedule a room or exterior space, fill out the Event Space Request form at the link below. The spaces that the event office handles include all of the classrooms and external areas such as the patio, amphitheater and quad. Departmental conference rooms are scheduled by the support staff in the specific department. The Tower Room and the Board Room in the ADM building are scheduled by the Chancellor's Office (6-9566). Computer Labs are scheduled by VIT (6-9770). If you have questions or need assistance completing the request form, please call the Scheduling Office at 6-9588 or e-mail to Room Scheduler

The Event Coordinator reserves spaces and coordinates set ups and signage. For food service, contact Dining Services at Event Food. For groups with parking needs, contact Public Safety at Event Parking. Public Safety also coordinates building access. To order audio visual equipment or schedule training for equipment in the technology classrooms, contact Event AV Equipment

As academic classes have first priority in using these spaces, confirmation of room assignments can not be made until after enrollment Census Day, unless a special exception is given by the Chancellor. If you have an event that requires a specific date and time, it is important to schedule it as far in advance as possible. Once the class schedule has been released by the registrar's office, events for the upcoming semester are scheduled on a first received, first scheduled basis. Events need to relate to the educational mission of the University and have appropriate departmental sponsorship. If there is a question about the appropriateness of an event, it may be referred to the Vice-Chancellor of Finance and Operations for approval. The Facilities Use Policies and Procedures detail the circumstances and approval process. They can be accessed at the links below.

Space within the Clark Center Building is handled by Clark College. Cheryl McClain is the scheduling person there and may be contacted at 992-2713 or Clark Event Schedule

NOTE: Changes for academic classes' room locations are handled by the registrar's office at 546-9566
